The fees management module can be accessed by Finance > Fees from the top menu or by Fees from the left menu.
First, the institute management needs to set out the fee details for each standard, and medium. After that, the management needs to decide the due dates for the fee payment. Once both are done, the institute needs to manage the fields appearing in the fee receipt and decide the type of fee concession they want to apply (if they want to apply).
Once this is done, the management needs to enter the fee account details in ERP. Fees can be managed by one account or multiple accounts.
There are many other details that can be managed/handled by the fees management menu.
Fees > Fees Details > Configuration




Here, the institute can decide which kind of fees are to be taken under which head and in how many installments.
The management can also decide whether any particular type of fee applies to new or old students. They can also decide whether the fees are refundable or not.
Once fees are decided, they can be viewed/edited altogether from the configuration dashboard.

Fees > Due Date
As decided in fees configuration about what the fees would be and in how many installments it is to be taken the system will generate decided installments.
Once the installments are decided, the institute needs to assign due dates for those installments.
From the due date option, institute management can decide the due dates manually.

Fees > Fees Receipt
Institute management needs to configure fee receipts before generating them.
The design of the fee receipt is to be submitted to the development team and they will design it as per the institute’s requirements.
Once the design is done, the institute needs to manage the configuration.
The configuration is done in two parts.

Standard Group: Here the institute needs to decide which receipts are to be given in sequence for which standard group.

Fees Title Group: Here institute needs to decide under which title fees are to be shown on the receipt and also decide the mode of
payment is to be displayed on the receipt.

Fees > Concession
Many times the institute management needs to provide the concession to some of the students. The management can decide the concession types, and concession amount in percentage / fixed amount from this session.
Institute can even decide whether the concession is to be given to all, some particular group of students, or to some individual student.


Fees > Concession > Global Concession
Global Concession is the concession that is to be given to an entire group of students. It can be set by clicking the + button given on the right side of the global concession list.

Fees > Concession > Individual Concession
The individual concession can be given to a particular student as per the institute’s requirement or the student’s parent's request if the institute wants to.
The individual concession can be given for a single time or can be given through the child’s education tenure.
Individual Concessions can be set up by clicking the + button given on the right side of the individual concession list.

Fees > Account
Institute needs to manage their account (Cash Accounts, Trust/Institute Accounts, and Bank Accounts) perfectly and accurately.
Accounts can only be managed from the trust/owner’s Panel.
Only the assigned accounts can be seen from other accounts (Principal / Admin / Accountant).
From the trust/owner’s panel one needs to first create Financial, Cash, and Bank accounts.


Fees > Late Fees
Many times institutes need to take late fees from students/parents.
For taking late fees, institute management first needs to set late fee amounts and late fee rules. The institute can also decide that if someone is not paying fees on time, in addition to the late fees, the management can decide to freeze their mobile app usage.
To set up the rules, and amount for late fees, the institute needs to click on the Configuration button on the late fees page.

Fees > Fees Collection
Fee collection is the most important task for financial management and needs to be managed very precisely and carefully.
From this option, the accountant/admin can collect fees for any/all the students. One can take print of the paid fees receipt also.
This page will show how many students are there, how many fees are received, how many it is still pending, and what amount is pending.


Fees > Fees Collection > Pay Now
For any student whose fees are still payable, a Pay Now button is displayed. An accountant can receive the fees for any installment by clicking on the button.
The Institute can accept fees in the form of cash, cheque, upi payment, bank transfer, or even by credit/debit card.
For each transaction, one needs to enter required details like fees taken to date and if fees are paid by any other means than cash, one needs to input the required details too.


Fees > Fees Collection > Print Receipt
Once fees are paid, the accountant needs to take out the print of the receipt (most probably with school and student copies. To do so, they need to click on the Print button.

Fees > Paid List
From here, the accountant, admin, principal, or management will be able to see the list of all fees collected.


Fees > Cheque List
From the cheque list option, we can get all the feed list that was received in the form of cheques.
We can view the cheque details and also can cancel the cheques if required.



Fees > Settings
The basic fee settings are done here. The management can decide on the prefix note in the receipt, the payment mode note in the receipt can freeze the usage of a mobile application for unpaid students and can decide on auto popup message sending for fee reminders from here.


Fees > Advanced Cheque
Institute management may decide to accept fees in the form of advanced cheques to allow parents’ continence.
The management needs to handle advanced cheques very delicately and accurately before they get cleared.
It will display the list of all advanced cheques received and if you want some advanced cheques to be added you can click on the + button and fill out the details of the cheque.


Fees > Old Fees and Fees Adjustment
Sometimes institute needs to check previous students’ fee schedules and payment details to check their regularity in paying the fees in previous years. This can be found using the old fees option given in the fees menu.
Sometimes institutes even need to make fee adjustments for the current students’ fees. The adjustment can be a semester fee, a term fee, an entire year’s fee, or some particular amount. This can be done using the fee adjustment option from the fees menu.
Fees > Fees Reports
Campus On Click provides a lot many fee reports which fit every need of
institute management.
The reports can be viewed or downloaded in Excel or PDF format.
